Image Gallery

The Image Gallery feature brings product and data images directly into the Business Central user interface, displaying them as a visual gallery inside a factbox on the pages where they are most relevant. Instead of searching for images in separate systems or file shares, users can see the right images automatically — right next to the record they are working with. It eliminates the gap between structured ERP data and the visual content that often lives outside it.

Feature Overview

Business Central is built around data, but many business processes rely heavily on visuals — seeing what a product looks like, confirming the right item is on a production order, or verifying a component during picking. Without the Image Gallery, users must switch between Business Central and external systems to find and cross-reference images, which slows down work and increases the risk of mistakes.

The Image Gallery solves this by displaying an interactive image carousel — the Image Galleria FactBox — directly on key pages such as item cards, sales orders, and production orders. Images are loaded automatically based on the record in context, meaning users always see the relevant images without any manual searching. The gallery supports images stored in Azure Blob Storage and SharePoint, so organisations can continue using their existing file storage infrastructure. Administrators control whether the gallery is shown and whether it tracks the document header, the currently selected line, or both — giving teams the right level of visual context for their specific workflows.

  • A warehouse operative picking items from a sales order wants to see a photo of each item as they work through the order lines, so that they can visually confirm they are picking the correct product — especially for items that look similar but have different specifications.

  • A production planner reviewing a released production order wants to see the images associated with the components and finished goods on the order, so that the team on the shop floor can immediately identify the right parts without relying solely on item numbers or descriptions.

  • A sales representative creating a sales order for a customer wants to see product images alongside item data while adding lines, so that they can confidently advise on product appearance and avoid selecting the wrong variant.

  • A purchasing manager reviewing incoming goods on a purchase order wants a visual reference for the items being received, so that the receiving team can match physical goods against what was ordered without having to look up images in a separate product catalogue.

  • A product manager maintaining item data wants images to be visible directly on the Item Card and Item List, so that the team can quickly verify that the correct images are associated with each item as part of their master data quality checks.

Key Concepts

  • Image Galleria FactBox — the visual panel that appears on supported pages, displaying one or more images in a browsable gallery format. It updates automatically as users navigate between records or order lines.
  • Header vs. Line display — the gallery can be configured to follow the document header (showing images for the overall order), the currently selected line (showing images for the specific item on that line), or both simultaneously. This is controlled through a global setting.
  • Image storage — images are not stored directly in Business Central. Instead, they are stored in Azure Blob Storage or SharePoint, and the gallery retrieves and displays them from there. The connection is set up once at the application level.
  • Automatic image loading — the gallery loads images based on the Master Data Information specifications assigned to the record in context. No manual selection is needed by the end user.

Relations to Other Features or Apps

Within Master Data Information:

  • The Image Gallery works in conjunction with Specifications on Pages and Master Data on Documents. Images are associated with records through the same Information Code and value structure used for all master data specifications — meaning images are just another type of information that follows the record through its lifecycle.
  • The Show Image Galleria FactBox setting in the Master Data Information setup controls whether the gallery is active across the application, and the Show Image Galleria FactBox Depending On setting determines whether it follows the header, the line, or both.

Standard Business Central:

  • The Image Galleria FactBox is added to standard Business Central pages including the Item Card, Item List, Sales Order, Sales Order List, and production order pages (planned, firm planned, released, and finished). Users on these pages benefit from image context without leaving their normal workflow.
