Sproom Document Activity Status

Prev Next

The Sproom Document Activity Status page enables Electronic Invoicing with Sproom to display the live delivery state of every electronic invoice and credit memo sent through Sproom — directly inside Business Central. The page consolidates delivery tracking, error details, and troubleshooting tools in one place, so you can monitor invoice delivery and resolve failures without logging into the Sproom portal or switching tools.

Feature Overview

Sproom Document Activity Status records every electronic document the moment it is sent through the Sproom API and begins polling Sproom automatically in the background for delivery updates. The page shows whether each document has been delivered, is still in transit, or has been rejected, along with the timestamps of the last status update and the last poll. When a delivery fails, the Code column shows the Sproom error code, the Message column shows a plain-language explanation, and the computed Hint identifies the most likely cause and what to correct. The Look Up Recipient action extracts the recipient identifier directly from the error message and opens NemHandelsregistret, making it possible to verify a customer's registration without switching tools. Manual refresh is available via Refresh Now for a single document and Refresh All Pending for all outstanding documents at once.

Typical Use Cases / User Stories

  • An accounts receivable clerk wants to confirm that an invoice sent to a public-sector customer has been delivered before following up on payment — she checks the State column on Sproom Document Activity Status without leaving Business Central.
  • A finance manager notices an invoice is in a Failed state and reads the Hint, which identifies that the recipient's GLN is not recognized — he uses Look Up Recipient to open NemHandelsregistret and verify whether the customer is registered to receive this document type.
  • As an accounts receivable supervisor, I want to refresh the delivery status of all outstanding invoices at the start of each day, so I use Refresh All Pending to pull the latest states from Sproom in one step.
  • A consultant reviewing a newly configured Sproom integration wants to confirm that test documents have progressed to a Delivered state after being sent from Business Central.
  • As a finance controller, I want to check whether any invoices carry non-blocking warnings from the time of sending — even if they were accepted by Sproom — so I review the Send Warnings column for issues worth addressing before they affect payment.

Key Concepts

  • State: The delivery lifecycle stage for a document. Common values are Sent (accepted by Sproom), Delivered (confirmed at the recipient's endpoint), Failed, and Rejected.
  • Hint: A plain-language suggestion computed automatically from the Sproom error code and message. The Hint points to the most likely root cause and recommends what to check or correct in Business Central or with the recipient.
  • Is Final Status: Indicates that the document has reached a terminal delivery state and will no longer be polled. Polling stops automatically for these documents to avoid unnecessary API calls.
  • Send Warnings: Non-blocking issues returned by Sproom at the time the document was accepted for delivery. The document was transmitted, but these warnings may indicate problems worth reviewing before they affect payment.

Relations to Other Features or Apps

  • Sproom Document Activity Status is part of the broader Sproom API Integration. The integration transmits the documents; this page is where you see and act on the outcomes.
  • The Sproom Document Status action on the Posted Sales Invoice and Posted Sales Credit Memo pages opens Sproom Document Activity Status pre-filtered to the selected document, so you can check delivery without navigating away from the source record.
  • The Document Status action on Sproom Service Settings also opens this page, giving administrators a delivery overview directly from the configuration screen.
  • The polling frequency that controls how often Sproom Document Activity Status is refreshed with new data is configured in Sproom Service Settings.

Frequently Asked Questions

How do I check whether an electronic invoice was delivered to the recipient?
The Sproom Document Activity Status page shows the current State for every document sent through Sproom. A state of Delivered confirms the document reached the recipient's endpoint. The page can also be opened directly from a Posted Sales Invoice or Posted Sales Credit Memo using the Sproom Document Status action in the Navigation menu.

What should I do when an invoice shows a Failed or Rejected status?
Read the Hint column on Sproom Document Activity Status — it identifies the most likely cause based on the Sproom error code and message. If the hint indicates the recipient cannot be found, use Look Up Recipient to open NemHandelsregistret and verify the customer's registration. After correcting the underlying issue, resend the document from the posted record in Business Central.

How often does the Sproom Document Activity Status page update with new delivery information?
Sproom Document Activity Status is refreshed automatically by a background polling job at the interval configured in Status Polling Interval (Min) on Sproom Service Settings. You can also trigger an immediate update at any time using Refresh Now for a single document, or Refresh All Pending to pull the latest states for all outstanding documents at once.

When This Feature Adds Value

  • You send electronic invoices to multiple customers and need a single place inside Business Central to confirm delivery outcomes, without logging into the Sproom portal.
  • A delivery failure has occurred and you need to identify the cause quickly — the Hint and Look Up Recipient action significantly reduce the time to resolution.
  • You want to proactively detect and review send warnings before they escalate into payment delays or disputes.
  • You manage a high volume of invoices and need a reliable, auditable record of delivery outcomes for every document sent.
