Feature Overview
Image Handling provides centralised management of images and visual content for master data records. Images are stored as File-type Information Entries, linked to an item, customer, vendor, or other master data record through the same specification framework used for text attributes. This means images are organised, searchable, and manageable alongside all other product information — not scattered across separate attachment systems.
Images can be attached at two levels: at the Information Code level (a single image representing the code itself, such as a category icon or brand logo) and at the Information Value level (an image representing a specific option, such as a colour swatch for the value "Red"). They can also be attached at the record level (the Information Entry), meaning a specific item can have its own product photo attached to a File-type specification code.
Images are displayed in the Image Galleria FactBox, which appears on the Item List, Item Card, and Sales and Purchase document pages when enabled in the Master Data Information Setup. The FactBox shows images associated with the current record's specification entries in a gallery format. On document pages, the FactBox shows the images linked to the specifications that have been added to that document line.
Files stored in the Image Handling system can be stored in the BC database, Azure Blob Storage, SharePoint, OneDrive, or FTP — configured via the File Storage Type setting on the Information Code or Information Value. This means large image libraries do not have to live inside the BC database.

Getting Started
- Create an Information Code with Subtype = File for the type of image you want to manage (e.g.
PROD-IMAGEfor product photos). - Open an item record and choose Master Data Information → Files.
- On a new line, select the
PROD-IMAGEcode. - Click the Attachment field and upload the image file.
- To enable the Image Galleria FactBox on the Item List and Card, open Master Data Information Setup and enable Show Image Galleria FactBox.
- The image now appears in the FactBox when the item is selected.
- To attach a colour swatch to a specific Information Value (e.g. a colour chip for the value "Red"), open the Information Value List for the Colour code, select the
REDline, and upload an image via the Attachment field.
Related Features
Image Handling is built on top of Information Codes with subtype File — images are simply File-type specification entries, and all the standard specification features apply (archive logging, Logical Dependencies, Merge Descriptions, etc.). Master Data on Documents can include images in document output when a File-type code is included in a document template. The File Storage Type field on Information Codes and Information Values controls where files are physically stored — this connects to external storage systems configured at the BC environment level.

US-01: Attach a product photo to an item
As a Business Manager
I want to attach a product photo to an item so that it appears in the Image Galleria FactBox on the item card and list
So that users can visually identify the product without opening an external system
Setup:
- Ensure a File-type Information Code exists (e.g.
PROD-IMAGE). - Open the Item Card and choose Master Data Information → Files.
- Add a line for
PROD-IMAGEand click the Attachment field to upload the image. - Enable Show Image Galleria FactBox in Master Data Information Setup if not already done.
- The image appears in the FactBox on the Item Card and Item List.
US-02: Attach colour swatches to Information Values
As a Business Manager
I want to attach a colour swatch image to each value in the Colour Information Code
So that when users select a colour on the Item Card or specification page, they can see the actual colour rather than just the code
Setup:
- Open the Information Code Card for
COLOURand choose Information Values. - For each value (e.g.
RED), click the Attachment field and upload the swatch image. - The swatch image is now associated with that value and can appear in the FactBox or on documents.
US-03: Enable the Image Galleria FactBox on item pages
As a IT Manager
I want to enable the Image Galleria FactBox on the Item List and Item Card
So that all users see product images alongside item data without any additional navigation
Setup:
- Open Master Data Information Setup.
- Enable Show Image Galleria FactBox.
- Save. The FactBox will now appear on the Item List and Item Card when items have images attached.
US-04: Store product images in Azure Blob Storage instead of the BC database
As a IT Manager
I want to configure the product image code to store files in Azure Blob Storage
So that large image files do not increase the BC database size
Setup:
- Open the Information Code Card for
PROD-IMAGE. - Set File Storage Type to Azure Blob.
- Ensure the Azure Blob Storage connection is configured in the BC environment settings.
- Save. Future image uploads for this code will be stored in Azure Blob Storage.
US-05: Attach a technical data sheet PDF to an item using a File-type code
As a Purchasing Agent
I want to attach a supplier's technical data sheet PDF to an item as a File specification
So that the document is accessible from the item record and can be included on purchase documents
Setup:
- Ensure a File-type Information Code exists for data sheets (e.g.
DATA-SHEET). - Open the Item Card and choose Master Data Information → Files.
- Add a line for
DATA-SHEETand upload the PDF via the Attachment field. - To include the data sheet on purchase documents, add
DATA-SHEETto the Purchase Line document template.
US-06: Preview an attached image or document
As a Business Manager
I want to preview an attached image or PDF directly from the specification page without downloading it
So that I can verify the correct file has been attached before sharing it with a customer
Setup:
- Open the Information Setup Card for the relevant specification entry.
- Choose View PDF (for PDFs) or use the Image Galleria FactBox to view the image inline.
- For non-image files, the Download Content action allows downloading for offline review.
