Feature Overview
Document Handling can automatically attach files to outgoing emails, pulling documents from two sources: standard BC document attachments stored on the source document, and files linked to items via Master Data Information (if that app is also installed). This eliminates the need to manually attach files before sending, and ensures the correct files are always included for each customer or vendor.
The attachments feature is enabled per sending profile row in Document Handling E-mail Templates using the Enable Attachments field. This is a feature-gated capability — it must first be activated in App Feature Setup (Feature Code: "Enable Attachments") before the field becomes visible. Once enabled, each sending profile row can be independently configured: attachments can be turned on for Sales Invoices but off for Sales Order Confirmations, for example.
When the Master Data Information app is also installed, MDI-linked files (such as product specifications, safety data sheets, or drawings attached at the item level) can be included automatically for each line on the document. This behaviour was previously controlled by a now-obsolete field ("Add Master Data Information Files Automatically") and has been superseded by the unified Enable Attachments feature, which covers both BC attachments and MDI files within a single control.

Getting Started
- Open App Feature Setup and find the Enable Attachments feature.
- Read the migration message carefully — if the Master Data Information app is installed and the old "Add Master Data Information Files Automatically" setting was in use, activating this feature migrates those settings to the new sending profile records. Confirm to proceed.
- Once enabled, open Document Handling E-mail Templates.
- The Enable Attachments column is now visible. Set it to the desired option for each document type row.
- Test by sending a document that has attachments and verifying the files arrive in the email.
Related Features
Attachments work within the Email Sending & Sending Profiles framework — the attachment setting lives on the sending profile row. Email Templates defines the email body and subject, while this feature adds files to the email. The Master Data Information app is an independent Abakion app (MDI) — when installed, its item-level files can be included automatically in Document Handling emails. Batch Post and Send respects the attachment settings when processing documents in bulk.
User Stories
US-01: Activate the Attachments feature for the first time
As a IT Manager
I want to activate the Attachments feature in Document Handling
So that files can be automatically attached to outgoing emails per document type
Setup:
- Open App Feature Setup.
- Find the Enable Attachments feature and enable it.
- Read and confirm the migration prompt. If the Master Data Information app is installed and the old setting was in use, the migration transfers existing configuration automatically.
- After activation, the Enable Attachments column becomes visible in Document Handling E-mail Templates.
US-02: Enable attachments for Sales Invoices only
As a Business Manager
I want to configure attachments to be included on Sales Invoice emails but not on other document types
So that only relevant documents carry attachments and email sizes remain manageable for simpler documents
Setup:
- Open Document Handling E-mail Templates.
- Find the Sales Invoice row.
- Set Enable Attachments to the desired value (enabled).
- Leave other rows (e.g. Sales Order Confirmation) with attachments disabled.
US-03: Include Master Data Information files in outgoing Sales emails
As a Sales Order Processor
I want to automatically include item-level files from Master Data Information (such as product data sheets) in outgoing Sales Order emails
So that customers receive relevant product documentation alongside their order confirmation
Setup:
- Ensure the Master Data Information app is installed.
- Activate the Enable Attachments feature in App Feature Setup (if not already done).
- In Document Handling E-mail Templates, enable Enable Attachments on the Sales Order row.
- Ensure the relevant files are attached to the items in Master Data Information.
- Send a Sales Order to verify the MDI files are included as attachments.
US-04: Understand the migration from the old MDI attachment setting
As a IT Manager
I want to understand what happens to the old "Add Master Data Information Files Automatically" setting when I activate the new Attachments feature
So that I can activate the feature with confidence and verify the migration completed correctly
Setup:
- Before activating, note which sending profile rows had "Add Master Data Information Files Automatically" enabled (this field is visible if MDI is installed and the new feature is not yet active).
- When you activate Enable Attachments in App Feature Setup, the migration prompt explains: existing Document Handling Sending Profile Records will be updated, and the old MDI setting will be transferred to the new Enable Attachments field.
- After activation, open Document Handling E-mail Templates and verify the Enable Attachments values match the previous configuration.
- The old field is now obsolete and will no longer be shown.
US-05: Control attachment behaviour per document type independently
As a Business Manager
I want to configure attachments differently for different document types — for example, on for invoices and off for quotes
So that attachment behaviour is tailored to what makes sense for each communication type
Setup:
- Open Document Handling E-mail Templates.
- For each row, independently set Enable Attachments to the appropriate value:
- Sales Invoice → Enabled (attach invoice PDF and any product files)
- Sales Quote → Disabled (quotations don't need additional attachments)
- Sales Shipment → Enabled (include packing list or product documentation)
- The setting is evaluated at send time per document type.
