Feature Overview
Warehouse Mobile puts the shared Mobile Flow platform in the hands of warehouse operators, scoped to the Warehouse area group. A warehouse mobile flow is a configurable, step-by-step data-collection sequence that a resource (a warehouse worker) runs from a handheld or mobile device to record what happens in the warehouse — bin moves, item journal postings, warehouse journal postings, reclassifications, adjustments and physical/ad-hoc inventory counts — without touching the full Business Central client. Warehouse Mobile itself is a thin packaging: it installs the standard Warehouse flow content from Mobile Flow Core, gives warehouse users their own role center entry point, and scopes everything a warehouse user sees (flows, resources, permission groups, cues) down to the Warehouse area. The actual flow engine, resource setup, permission model and posting logic live in Mobile Flow Core and are simply filtered to Warehouse by this app.
Each mobile flow resource (typically a warehouse operator) is configured once with the journal templates/batches it should post to for each transaction type, its data capture method (barcode scanning or camera), PIN-code login behaviour, and which permission group determines which flows it can run. Because warehouse postings can target either standard item journals or dedicated warehouse journals (used with directed put-away and pick, physical inventory and reclassification), Warehouse Mobile inherits Mobile Flow Core's separate template/batch setup for both journal families, plus a one-time standard bin creation routine that seeds the bins a directed-put-away-and-pick location needs (receive, ship, put-away, pick, adjustment, quarantine, cross-dock and production bins) before mobile flows can post into them.

Getting Started
- Install the Warehouse Mobile extension and, from the "Activate Warehouse Mobile now" notification or Assisted Setup, activate the app (enter a contact email and start the trial/subscription) — this one-time step also installs the standard Warehouse flow package and creates an initial demo mobile flow user.
- Assign the Mobile Warehouse permission set to warehouse users (it automatically includes the underlying Mobile Flow and App Manager permission sets).
- Open Mobile Flow Warehouse Role Center and set it as the default role center for warehouse mobile users via their Profile/Role assignment.
- For each location that uses directed put-away and pick, run the standard bin setup so receive, ship, put-away, pick, adjustment, quarantine, cross-dock and production bins exist before mobile flows try to post against them.
- Open Mobile Flow Resource Setup and set up each warehouse operator as a resource: default journal templates/batches for output, consumption, reclass, adjustment and physical inventory item journals, and for warehouse item, physical inventory and reclassification journals; data capture method (scanning/camera); PIN code; and location filter.
- Open Mobile Flow Permission Groups and confirm or create the permission group(s) that control which flows each warehouse resource can run, then assign the correct group on the resource's setup record.
- Open Mobile Flow User Setup to link each Business Central user to their resource, decide whether the resource is fixed and whether PIN-code login is allowed.
- Have a warehouse user log in and confirm the role center shows only Warehouse-area cues and that their assigned flows are available to run.
Related Features
Warehouse Mobile is a licensing/activation and area-scoping shell around Mobile Flow Core: every mobile flow, resource, permission group, journal setting and cue that a warehouse user sees is defined and maintained in Mobile Flow Core, filtered to the Warehouse area group. The Mobile Flow Warehouse role center reuses Mobile Flow Core's shared role center building block rather than a Warehouse Mobile-specific one, and warehouse flows post through the same Item Journal / Warehouse Journal integration that Mobile Flow Core exposes to every area. No source-code relationship was found between Warehouse Mobile and the separate Warehouse Manager app — despite the similar name, they are unrelated products with no shared setup, tables, or events.
User Stories
Setting up a warehouse operator as a mobile flow resource
As a warehouse administrator
I want to register a warehouse operator as a mobile flow resource
So that they can run warehouse flows from their device under their own resource identity
Setup:
- Open Mobile Flow Resource Setup and select the operator's resource number.
- The record is created automatically the first time the resource is used, defaulting rounding to 15 and picking up the site's default journal templates and batches.
- Set the Location Code to scope the resource to a specific warehouse location if needed.
Choosing how a warehouse operator scans data
As a warehouse administrator
I want to set the data capture method for a warehouse resource
So that operators can scan barcodes or use the device camera as appropriate for their task
Setup:
- On Mobile Flow Resource Setup, set Data Capture Method to Scanning or Camera (or None).
- Optionally enable Play Audio Signal at Input Request so the device beeps when input is expected.
Letting a warehouse operator log in with a PIN code
As a warehouse operator sharing a device
I want to log in with a PIN code instead of full credentials
So that I can start working quickly at a shared warehouse terminal
Setup:
- On Mobile Flow User Setup for the user, enable Allow Pin Code Login.
- On Mobile Flow Resource Setup, set the Pin Code for the linked resource.
- Optionally enable Password Mandatory if a password should still be required.
Fixing a device to a single warehouse resource
As a warehouse administrator managing shared handheld devices
I want to fix a device/login to always use the same resource number
So that every scan on that device is attributed to the correct operator without manual selection
Setup:
- On Mobile Flow User Setup, enable Fixed Resource No. and set the Resource No.
- Optionally enable Fixed Role Center Logon so the user always lands on the same role center.
Restricting which flows a warehouse resource can run
As a warehouse administrator
I want to control which mobile flows a given operator is allowed to run
So that operators only see the flows relevant to their job
Setup:
- Open Mobile Flow Permission Groups and create a group, or use the default "ALL" group created automatically the first time a resource is set up.
- Add flow permission lines scoped by area group, menu group, or a specific flow code, marked as Include or Exclude.
- Assign the group on Mobile Flow Resource Setup in the Flow Permission Group field.
Preparing standard bins for a directed put-away and pick location
As a warehouse administrator setting up a new location
I want to automatically create the standard set of bins a directed put-away and pick location needs
So that mobile flows have receive, ship, put-away, pick, adjustment, quarantine, cross-dock and production bins ready to post into
Setup:
- Run the warehouse standard bin setup against locations with Directed Put-away and Pick enabled.
- The routine creates a Receive bin, a Shipment bin, general Warehouse bins, dedicated Put-Away and Pick bins, a Put-and-Pick bin, Adjustment, Quarantine, Cross-Docking and Production bins, and links the relevant bin codes back onto the location (receipt, shipment, adjustment, cross-dock and production bin fields).
- If bins already exist for the location, choose whether to cancel, delete and recreate, or add to the existing setup.
Note: If the location does not use directed put-away and pick, the same bins are still created but without zone/bin-type classification.
Directing a warehouse operator's item journal postings
As a warehouse administrator
I want to set the default item journal template and batch a resource posts to
So that consumption, output, reclassification, adjustment and physical inventory entries from mobile flows land in the right journal automatically
Setup:
- On Mobile Flow Resource Setup, review or set the Output, Consumption, Reclass, Adjust and Phys. journal template and batch name fields.
- When left blank, the resource setup automatically picks the single matching non-recurring template of each type, and creates/reuses a "MOBILEFLOW" batch on it.
Directing a warehouse operator's warehouse journal postings
As a warehouse administrator
I want to set the default warehouse journal template and batch a resource posts to
So that warehouse item, physical inventory and reclassification postings from mobile flows land in the correct warehouse journal
Setup:
- On Mobile Flow Resource Setup, set the Whse. Jrnl. Template Name, Whse Phys. Jrnl. Template Name and Whse Reclass Jrnl. Template Name fields (and their batch names) to the warehouse journal templates used at the location.
- These default automatically to the single matching Warehouse Journal Template of each type when available.
Choosing whether a resource posts journal lines automatically
As a warehouse administrator
I want to control which journal line types a resource is allowed to post directly from a mobile flow
So that I can separate operators who just record data from those authorized to post
Setup:
- On Mobile Flow Resource Setup, review the Post Consumption, Post Output, Post Reclass, Post Adjustment, Post Phys. Invt., Post Warehouse Journal, Post Warehouse Reclass and Post Warehouse Phys. Invt. switches.
- Enable the switches that match the operator's responsibility; consumption and output posting are enabled by default, the rest are off by default.
Running an ad hoc physical inventory count from a warehouse flow
As a warehouse operator
I want to post an unplanned (ad hoc) physical inventory count
So that I can correct stock discrepancies I discover while working, without waiting for a scheduled count
Setup:
- Ensure the resource has Post Adhoc Phys. Jrnl. Lines and/or Post Adhoc Whse. Phys. Jrnl. Lines enabled on Mobile Flow Resource Setup.
- Run the physical inventory count flow on the device; the resulting lines post to the resource's configured item or warehouse physical inventory journal.
Recording resource capacity and duration for warehouse tasks
As a warehouse administrator
I want to define a base unit duration for a warehouse resource
So that time spent on tasks can be captured consistently when the resource reports quantities
Setup:
- On Mobile Flow Resource Setup, set the Base Unit of Measure (read from the underlying Resource) and the Base Unit Duration.
- The duration field requires the base unit of measure to be set first.
Rounding quantities on warehouse mobile entries
As a warehouse administrator
I want to set a default rounding value for a resource's mobile entries
So that quantities reported from the device are rounded consistently
Setup:
- On Mobile Flow Resource Setup, set Default Rounding; it defaults to 15 if left at zero when the record is created.
Choosing automatic vs. manual handling of exceptions during a warehouse flow
As a warehouse operator
I want to have the app either auto-handle exceptions or ask me how to proceed
So that the flow matches how much control I need over edge cases
Setup:
- On Mobile Flow Resource Setup, set Default Handling Action to "Auto Handling" or "Ask for handling".
- Set Default Auto StartStop to "Auto Pause" or "Auto Insert" to control how the resource's task timing behaves between steps.
Filtering the flows a resource sees by area
As a system administrator
I want to be sure a resource's flow list is filtered to Warehouse only
So that a warehouse operator never sees Sales, Service or Production flows on their device
Setup:
- On Mobile Flow Resource Setup, the Area Group Filter is a read-only flow filter driven by the resource's permission group and, for Warehouse Mobile, is scoped by the app to the Warehouse area group.
- No manual step is needed beyond assigning the correct permission group (see US-05).
Landing on the Warehouse role center
As a warehouse mobile user
I want to see only warehouse-relevant mobile flow cues on my role center
So that I'm not distracted by flows from other areas (Sales, Service, Production, etc.)
Setup:
- Assign the Mobile Flow Warehouse profile/role center to the user.
- Open the role center — the shared Mobile Flow Role Center UI part is shown, filtered to the Warehouse area group, and the number of available mobile flows is shown as a cue.
Switching role centers from a warehouse device
As a warehouse operator who also works in another area
I want to switch between the Mobile Flow role centers I have access to, directly from the role center
So that I don't need IT to change my default role center each time
Setup:
- On Mobile Flow Resource Setup for the operator, enable Allow Role Center Switching.
- From the Warehouse role center, use the role center switch action to move to another area's Mobile Flow role center.
Automatic license/enablement check on the Warehouse role center
As a warehouse mobile user
I want to have my license and enablement status checked automatically when I open the Warehouse role center
So that setup problems surface immediately instead of failing later inside a flow
Setup:
- Open the Mobile Flow Warehouse role center.
- The app verifies the license and enablement state for the Warehouse area group and shows any relevant notifications before flows can be used.
Note: Activation and licensing themselves are generic Abakion app-management plumbing, not warehouse-specific; see Assisted Setup if a notification appears.
Assigning permissions to warehouse mobile users
As a system administrator
I want to grant warehouse users access to the Warehouse Mobile setup, wizard and role center objects, plus the underlying Mobile Flow objects
So that they can use the app without being granted broader permissions
Setup:
- Assign the Mobile Warehouse permission set to the relevant users or user groups.
- This automatically includes the underlying Mobile Flow and App Manager permission sets needed for day-to-day use and licensing checks.
Tracing a warehouse journal or item ledger entry back to the mobile operator
As a warehouse supervisor investigating a posting
I want to see which resource created a given warehouse entry or warehouse journal line
So that I can follow up with the right operator
Setup:
- Open the relevant Warehouse Entries or Warehouse Journal lines.
- The Resource No. field (added to both by Mobile Flow Core) shows which mobile flow resource created the entry.
Recording time against warehouse resources
As a warehouse administrator
I want to capture time entries for a warehouse resource through the mobile flow
So that time spent on warehouse tasks is tracked alongside the material movements
Setup:
- Set up the resource on Mobile Flow Resource Setup; a default time collector setup is created automatically for the resource the first time it is inserted.
- Review or adjust the resource's time collector setup on the relevant Time Collector pages.
Assigning warehouse mobile users to Business Central logins
As a system administrator
I want to link a Business Central user to their warehouse mobile resource
So that every mobile flow action is attributed to the correct person and resource
Setup:
- Open Mobile Flow User Setup and select or create the record for the user's login.
- Set the Resource No. the user should act as.
- Configure Password Mandatory, Allow Pin Code Login, Fixed Resource No. and Fixed Role Center Logon as needed for that user.
